TruLeaf is currently seeking an experienced Executive Assistant to join our growing multidisciplinary team of professionals in our Bedford, Nova Scotia office. Reporting to the CEO, the Executive Assistant is responsible for managing administration and reception for TruLeaf’s Bedford office. They will provide high-level support to the CEO and CFO managing day-to-day operations like preparing documentation and reports, organizing files and records, planning and scheduling appointments and meetings, arranging travel and managing correspondence.

The key areas of responsibility include:

  • General reception support (i.e. greeting clients, handling and directing incoming calls, filing, couriers, sorting mail)

  • Providing customers and visitors with information on the company’s services

  • Ordering and maintaining office supplies and equipment

  • Scheduling and preparing for key events, meetings and related logistics

  • Monitoring e-mail inbox and calendar of CEO and CFO, to help manage meeting requests, action items, and proactively address or delegate inquiries

  • Arranging business travel for management team

  • Complete and submit expense claims for management team

  • Coordinate Board meetings and communication

  • Compile documentation, research, reports and presentations

  • Other assigned administrative support activities for all departments as required

The ideal candidate will have the following qualifications and skills:

  • Post-secondary education in office administration, or equivalent experience

  • Minimum of 3 years’ previous experience in a similar role

  • Knowledge of principles and practices of office management

  • Proficient computer skills, knowledge of Microsoft Office Suite

  • Strong organizational and time management skills

  • Ability to function in a fast-paced team environment

  • Strong written and oral communication skills

  • Attentional to detail and accuracy

  • Independent, self-starter

  • Previous experience in a small business or entrepreneurial environment would be considered an asset
